Haven Hospitality Software

Software for venues that were never going to buy enterprise software.

We build the tools independent hospitality operators cannot buy: booking pipelines, AI phone and text agents, operations dashboards, and the integration layer that finally makes your existing systems talk to each other.

24/7Every call, text, and web inquiry answered, including the ones that arrive at 11pm on a Saturday.
1Screen where sales, labor, COGS, covers, and bookings all live. No more four tabs and a spreadsheet.
100%Of your operational data stays yours. Exportable, documented, no hostage-taking.
0Per-seat licenses that punish you for hiring. We do not price against your headcount.
Why we build

This practice exists because we were the customer first.

Running our own multi-revenue-center venue, we needed a booking pipeline that handled bowling leagues, banquet buyouts, and karaoke parties in one place. We needed to know Monday morning what Friday actually cost us in labor. We needed the phone answered when the host stand had a twelve-person line.

Every quote we got was priced for a chain. So we built it, ran it in our own building for a full season, and then started building it for other operators. That is the whole origin story, and it is the reason this software fits the way a venue actually works.

Capability 01

Booking & event pipeline

One system from first inquiry to run-of-show. Web forms, phone, text, and walk-in inquiries land in a single pipeline. Automated follow-up chases every lead that goes quiet. Proposals, contracts, deposits, and balance reminders fire on schedule. Your event calendar, your BEOs, and your deposit ledger stop living in three different places.

  • Multi-channel inquiry capture with instant acknowledgment
  • Automated nurture on unresponded leads at day 1, 3, and 7
  • Proposal and contract generation with e-signature
  • Deposit collection, balance tracking, and payment reminders
  • Run-of-show and BEO generation for the kitchen and floor
  • Post-event review request and rebooking sequence
Capability 02

AI voice & text agents

A conversational agent that answers your phone and your texts in your venue's voice. It knows your hours, your pricing, your packages, and your availability. It qualifies the inquiry, quotes accurately, books directly into your calendar, and escalates to a human the moment the conversation calls for one. Full transcripts and recordings on every interaction.

  • Inbound call answering with natural conversation
  • Missed-call text-back within seconds, every time
  • Real availability lookups, not canned responses
  • Booking and deposit capture inside the conversation
  • Human handoff rules you define and control
  • Transcript logging into the CRM for every contact
Capability 03

Operations dashboards

The numbers you need to run the week, pulled automatically from the systems you already use. Sales by daypart and revenue center, labor as a percentage against target, COGS and theoretical variance, covers, per-cap, booked events forward, and review velocity. Built for a phone screen, because that is where you will actually look at it.

  • Daily flash delivered by text or email before you open
  • Labor percentage tracked live against daypart targets
  • Theoretical vs actual COGS variance by category
  • Forward booking pace against the same week last year
  • Owner view and manager view with separate permissions
  • Exception alerts when a metric breaks its threshold
Capability 04

Integration & automation layer

The connective tissue between your POS, scheduler, payroll, accounting, reservation platform, and CRM. Nightly sales journals into your books. Labor data out of the scheduler and into the dashboard. Guest records unified across the systems that each hold a piece of them. Every manual re-keying step someone on your team does weekly is a candidate for removal.

  • POS to accounting: automated daily sales journal entries
  • Scheduler and payroll sync with labor cost attribution
  • Unified guest and contact records across platforms
  • Inventory and purchasing workflow automation
  • Approval routing with human sign-off where it matters
  • Error monitoring and alerting so failures do not go silent

Also built to order

Internal tools for the work that still runs on paper.

Most venues have three or four processes that eat hours a week and live on a clipboard, a group text, or a spreadsheet somebody guards. These are cheap and fast to fix, and they are usually the first thing we build.

Inventory & line checks

Mobile counts, par levels, variance flagging, and line check sign-offs with photo capture and timestamps.

Maintenance tickets

Staff report it from their phone, it routes to the right vendor, and nothing sits broken for three weeks because nobody told you.

Incident & safety logs

Structured reporting with the fields your insurer wants, stored where you can find it when you need it.

Tip pooling & distribution

Rule-based calculation, transparent to staff, exportable to payroll, defensible in an audit.

Manager scorecards

The four or five numbers each manager owns, updated automatically, reviewed on a fixed cadence.

Staff onboarding & training

Digital packets, certification tracking, expiration alerts, and completion records that survive turnover.

How we build

Shipped in weeks, not quarters.

We work in short cycles against a live operation. You see something working inside the first two weeks, and every cycle after that puts a real tool in your team's hands rather than another status update in your inbox.

Phase 01

Map

We shadow the workflow. Not a requirements meeting: actual observation of how the job gets done today, where it breaks, and what the workaround costs.

Phase 02

Prototype

A working version in front of the people who will use it within two weeks. Feedback from the floor, not from a committee.

Phase 03

Ship & train

Deployed, integrated, and trained in person on your floor during a real shift. Documentation written for your staff, not for developers.

Phase 04

Support & iterate

Monitoring, error alerting, and a support channel with a human on it. Enhancements on a scheduled cadence as the operation changes.

Our stack, stated plainly

We are deliberately tool-agnostic and we tell clients exactly what we are using and why. Most builds combine a workflow automation layer, a CRM and communications platform, a large language model for the conversational and parsing work, and direct API integration with whatever systems you already run. We do not force a rip-and-replace of a POS that is working fine.

Ownership, security & exit

  • Your operational data is yours, fully exportable in a documented format, at any time and for any reason
  • Custom application code is assigned or perpetually licensed to you, stated explicitly in the agreement
  • You hold the root accounts for your domains, ad platforms, CRM, and payment processing
  • Credentials handled through a managed secrets vault, never in shared documents or email
  • Role-based access with least privilege, and an audit trail on sensitive actions
  • Documented offboarding: if you leave, you leave with everything, and we help you migrate
Free for operators

Operator tools, free to start.

Not every problem needs a custom build. We publish event quoting and venue management calculators through the Equity Growth Partners tools platform so operators can run the math themselves, before anyone signs anything.

  • Quote an event or buyout without guessing at the margin
  • Sanity-check pricing and packages against your own cost structure
  • Pressure-test a capital idea before you commit to it
  • Free calculators to start, with a Pro tier for deeper analysis

Built by the same team that builds the custom systems on this page. If a calculator gets you to the answer, use the calculator.

Technology questions

The things buyers actually ask.

Almost never. We build around what you have. If your POS genuinely cannot export the data required for a specific capability, we will tell you that plainly and price both paths so you can decide. Replacing a functioning POS is expensive, disruptive to your staff, and rarely the actual bottleneck.
Internal tools and single-workflow automations generally land in the low thousands. A full booking pipeline or an AI agent deployment is a larger project priced on scope. Ongoing support and hosting is a modest monthly figure, not a per-seat license. We scope and quote in writing before any work begins, and we do not bill for discovery.
Fine. We work alongside incumbents regularly and we do not require displacing anyone to be useful. We will define the boundary in writing so nobody is stepping on anyone, and we are happy to hand off documentation to your existing team.
It is a fair concern and the honest answer is: only if it is deployed badly. We constrain the agent to your actual pricing, hours, and packages so it cannot invent an answer, we set explicit escalation rules for anything outside its scope, and we run it in a monitored shadow mode before it takes live calls. You review transcripts. You control the handoff thresholds. And if you decide you hate it, we turn it off.
Our parent platform builds operating software across property management, professional services, funeral care, and logistics, so the answer is yes. That said, this practice is deliberately focused on restaurant, hospitality, and entertainment, because domain knowledge is most of what makes the software good.
Start the conversation

Tell us what is not working. We will tell you exactly how we would fix it.

Every engagement starts the same way: a 45-minute working call, a walk of your P&L and your floor, and a written point of view you can act on whether or not you hire us. No deck, no discovery fee.
